Changing the Status of a Listing:


  1. To change the status of a listing, you will need to go to My Listings in the main toolbar at the top of RealTracs and then click Manage Listings (fig. 1).
  2. Hover your mouse over the listing you wish to change the status for and select the three horizontal lines  on the right-hand side of the listing.  
  3. After clicking the dots, choose the Change Status option from the list (fig. 2).

If your property is currently Active-Showing:


Click on the Status drop-down to select one of the available statuses (fig. 3):

  • Active-Showing - You can simply extend the Expiration Date if needed. Click Update once the date has been changed.
  • Coming Soon / Hold - Maybe the seller would like to temporarily stop showings while the property is being repaired for example. You will need to enter an Available for Showing Date no later than 30 days out and then click Update. The status will automatically change to Active on that date.
  • Under Contract-Showing - If there is an accepted offer and the seller wishes to continue to show the property for back up offers. If this is selected, you will need to choose the date in which the offer was accepted from the Under Contract Date field and then select a Contingency Type and click Update.
  • Under Contract-Not Showing - If there is an accepted offer and the seller no longer wishes to show the property regardless of any Contingencies. If this is selected, you will need to choose the date in which the offer was accepted from the Under Contract Date field, choose a Contingency Type if desired, and add the Buyer’s Agent by clicking Select Selling Agent. A search window should appear. If not, check your pop-up blocker and try again. When searching, just fill in the first few letters of the agent’s first and or last name and click search. Find the correct agent in the list and click on the name to add. Do the same for Co-Selling Agent if applicable then click Update.

Please note: If you need to Withdraw a property, please see your Office Manager or Broker to do this.

If your property is currently Coming Soon / Hold:


Click on the Status drop-down to select one of the available statuses (fig. 4):

  • Active - The listing can be changed to Active before the Available for Showing Date. To finalize the change, verify the Expiration Date and click Update (The status will automatically switch to Active on the Available for Showing date).
  • Coming Soon / Hold - You can simply extend the Expiration Date or the Available for Showing Date. Click Update when ready (fig. 4).
  • Under Contract-Showing - If there is an accepted offer and the seller wishes to continue to show the property for back up offers. If this is selected, you will need to choose the date in which the offer was accepted from the Under Contract Date field and then select a Contingency Type and click Update.
  • Under Contract-Not Showing - If there is an accepted offer and the seller no longer wishes to show the property regardless of any Contingencies. If this is selected, you will need to choose the date in which the offer was accepted from the Under Contract Date field, choose a Contingency Type if desired, and add the Buyer’s Agent by clicking Select Selling Agent. A search window should appear. If not, check your pop-up blocker and try again. When searching, just fill in the first few letters of the agent’s first and or last name and click search. Find the correct agent in the list and click on the name to add. Do the same for Co-Selling Agent if applicable then click Update.

If your property is currently Under Contract-Showing:


Click on the Status drop-down to select one of the available statuses (fig. 5):

  • Active - Change it back to Active status if the contract fell through. 
  • Coming Soon / Hold - Change it back to Coming Soon/ Hold if the contract fell through.
  • Under Contract - Showing - Update the Contingency type or the Listing's Expiration Date (Listing will not expire while Under Contract). 
  • Under Contract - Not Showing - Once the seller decides to stop showing the property or once all Contingencies have been cleared (fig. 5). You can remove the Contingency by selecting None in the list and then add the Buyer’s Agent by clicking the MLS button and typing the Selling Agent's name. You must select the agent when they appear below the Selling Agent Name field to add it. If the Agent is not a member of our MLS, the NON MLS button would need to be selected. Click Save once the Under Contract- Not Showing information is entered.

If your property is currently Under Contract Not-Showing:


Click on the Status drop-down to select one of the available statuses (fig. 6):

  • Active - Change back to Active if the contract fell through. 
  • Coming Soon / Hold - Change back to Coming Soon / Hold if the contract fell through. 
  • Under Contract-Showing - If the contract fell through and you're under contract again with a new contingency. 
  • Under Contract - Not Showing - Modify the existing Under Contract - Not Showing information. 
  • Closed - Fill in the proper Closed Date, Sales Price, Terms, and Seller Paid Closing Costs. Double Check that all the information is accurate and Click Update (fig 6).

If your property is currently Closed:

  • Your Principal Broker or Office Administrator can make corrections within 30 days of a listing's Closed Date. If you realize something is incorrect after 30 days, submit a request to data@realtracs.com to have it corrected. 

If your property is Currently Expired:

  • You can change the Status back to Active or Coming Soon / Hold if you have a listing extension. Simply fill in the new Expiration Date and click Update. To add the property as a new listing, you must have a new Listing Agreement signed. Expired properties are only available in Add/Edit for 30 days past the Expiration Date. Listings expired longer than 30 days cannot be extended.
